What Personal Information We Collect

• Your name
• Your telephone number
• Your address/postcode
• Your email address
• Your age bracket
• Your ethnicity
• Your religious beliefs
• Any disabilities that you may have.

For over 18s you will also be asked to provide:

• Gender
• Sexual orientation
• Political opinion.

How We Collect Your Personal Information

All of the personal information that we process is provided directly to us by you, via a registration form, event attendance registers and/or attitudinal surveys conducted at the end of the activity.

How We Use Your Personal Information

We use your personal information for the following purposes:

• Monitoring of the number of participants on a particular programme
• Monitoring of cross community activities delivered
• Evaluation of project activities
• To document project activities (including the use of photographs and/or video recordings where appropriate) to evidence delivery and engagement
• To promote positive community engagement and showcase project activities and outcomes through Council publications, including our website, social media and reports, where appropriate.

Where photographs or recordings are used in a way that identifies individuals, appropriate permissions will be sought where required.

Our Lawful Basis for Processing Your Personal Information

Under Article 6 of the UK GDPR, the lawful basis we rely on is:

• Article 6 (1) (e) – Public Task: We use your information to carry out tasks in the public interest or as part of our official duties, including the delivery, monitoring and evaluation of PEACEPLUS activities.

In limited circumstances, where photographs or video recordings are used to identify individuals for promotional purposes, we rely on:

• Article 6(1)(a) – Consent: where you have given clear permission for your image to be used.  You have the right to withdraw your consent at any time, and this will not affect your participation in the project.

If you do withdraw your consent, we will stop any future use of your image. Any use of your image before you withdraw consent will remain lawful.

Council will not use your personal data for automated decision-making or profiling.

How We Store Your Personal Information

Your information will be securely stored on Council’s electronic systems and/or securely on Council premises. Council will manage your personal data in line with its Records Management Policy and accompanying Retention and Disposal Schedule to make sure your data is only kept for as long as necessary.

We use strong security measures, such as password protection, encryption, and controlled access to keep your information safe.

Our data is stored on servers within the UK and EU.

Sharing Your Information

We may share your information with internal Council departments (for example, ICT) who may assist in analysis of the data.

We may also share your information with the following third parties:

• Project partner(s) responsible for the delivery of the activity you have registered for – so they may contact you to ensure that your details are accurate and may monitor your hours of achievement.
• Special EU Programmes Body – the Action Plan is supported by PEACEPLUS, a programme managed by the Special EU Programmes Body (SEUPB).  A data sharing agreement is in place between council and SEUPB.  It is a requirement of the funding that we share monitoring data with the funder, although it will be anonymised and aggregated before it is shared with the SEUPB and you will not be able to be directly identified by them.  A copy of the SEUPB Privacy Notice can be found on the SEUPB website's Privacy Notice | SEUPB

Where sharing is necessary, Council will have data sharing agreements in place with relevant third parties to ensure compliance with data protection obligations.

We will not disclose your personal information to any other organisation unless required by law.

Council do not transfer your personal data outside the EU.

Your Rights

Under the UK GDPR, you have the following rights regarding your personal data:

• Right of access - You can request copies of the personal information we hold about you (known as a Subject Access Request or SAR). To make a SAR, please contact us at dpo@midandeastantrim.gov.uk.
• Right to Rectification - You can ask us to correct information you believe is inaccurate or complete information you believe is incomplete.
• Right to Erasure - You can request that we delete your personal information.
• Right to Restrict Processing - You can ask us to limit how we use your personal information
• Right to Object - You can object to the processing of your personal information.
• Right to Data Portability - You can request that we transfer the personal information you provided to another organisation or to you.
• Right to Withdraw Consent - Where we rely on your consent to process your data, you can withdraw that consent at any time.

These rights may be subject to certain limitations and exceptions. You can find more information about your rights and how to exercise them via Information Commissioner’s Office (ICO)

If you make a request in respect of any of these data protection rights, we will aim to complete your request within one month. You do not have to pay a fee to exercise your rights.
